Bradgate Bridge Club holds various personal information about its members.

Personal informational held

The following details are held securely with limited access:
  • Postal address
  • Emergency contact telephone number
  • Date of birth (if junior member)
  • Membership status
  • Record of Psyches and System Deviations, and any Report of Hands
  • Reports and outcomes of any disciplinary actions
The following details are available to members on BridgeWebs
  • Email address
  • Telephone number
The following details are publicly available on BridgeWebs
  • Results (since 28th October 2015)
  • Trophies held
  • Appeal committee decisions
The following details are sourced and publicly available from the English Bridge Union (EBU).
  • EBU membership number
  • National Grading System (NGS) rating
  • EBU masterpoint ranking

Conditions of membership

It is a condition of membership that you:
  1. Provide a contact point, either postal address or email address, preferably both. If you choose to withhold your email address then you only receive the minimum legally obligated information, e.g. notice of AGM.
  2. Are a member of the EBU.

Sharing details with other organisations

We only share details with our parent organisations, namely the Leicestershire Contract Bridge Association (LCBA) and the EBU.

EBU

We share the following details with the EBU:
  • Email, telephone number and address if we register you as a new EBU member
  • Confirmation of your membership status, i.e. that you are a paid-up member of the Club
  • Results, in order to update your NGS rating and EBU masterpoint ranking

LCBA

We share the following details with the LCBA
  • Confirmation of membership status, i.e. that you are a paid-up member of the Club

Withholding contact details

You may withhold some of your contact details, namely telephone, postal address and email address. This can be done by logging into your account on BridgeWebs and amending your details, or by sending a written request to the Secretary. However, you must provide us with either your postal address or email address. Removal of your contact details from the Emergency Contact List can be done by sending a written request to the Secretary. All written requests will be actioned within 30 days. It is a condition of entry for home play competitions, e.g. the Chicago Knockout, that at least one member of the partnership must be a member of the club and must provide a contact telephone number.

NGS

The EBU give you the ability to hide your NGS rating. If you choose to do so then this may bar you from certain competitions or result in adverse handicaps in others.

Results

You may have your future results published under a pseudonym by sending a written request to the Tournament Secretary.

Retention of details

If your membership becomes lapsed, or you resign, then we will keep your details on file until the next AGM, after which they will be purged. We will retain all publicly available details, e.g. EBU membership number, etc. in case you wish to play as a visitor unless you send a written request to the Tournament Secretary to delete it. The following details will not be deleted:
  • Results
  • Appeal committee decisions
  • Record of Psyches and System Deviations, and Report of Hands
  • Reports and outcomes of any disciplinary actions
In the case of death, we will remove all details at the next AGM, except those listed above.

Visitors

We hold the following personal information for visitors, under the same conditions as we do for members:
  • Results
  • EBU membership number
  • NGS rating
  • EBU masterpoint ranking
  • Appeal committee decisions
  • Record of Psyches and System Deviations, and any Report of Hands
  • Reports and outcomes of any disciplinary actions
If you are a regular visitor and a non-EBU member, we may offer to register you as a potential EBU member, so that your results may go towards your NGS rating and EBU masterpoint ranking should you become an EBU member in the future. The information required to register you as a potential EBU member is:
  • Postal address
  • Email address
  • Telephone number
This information will be passed onto the EBU when we register you, and then purged from our records.

Details of where your personal information is stored, how it is secured and who has access to it can be found in the Data Security and Access Policy. Subject access request You may send a written Subject Access Request to the Secretary in order to find out exactly what personal information we hold for you. We will respond within 30 days. By logging into your account on BridgeWebs, you have the ability to see the following:
  • Postal address
  • Email address
  • Telephone number
  • Results sine 28th October 2015
By logging into your MyEBU account on the EBU website, you have the ability to see the following:
  • Postal address
  • Email address
  • Telephone number
  • EBU ranking
  • NGS rating
Please note that BridgeWebs and MyEBU are two separate systems. Any changes to contact details in one system will not be reflected in the other system. The details of any Appeals that you were involved with are publicly available on BridgeWebs. The only personal information that we hold that you cannot directly access yourself are:
  • Record of Psyches and System Deviations, and any Report of Hands
  • Reports and outcomes of any disciplinary actions
  • Results for 3rd November 2003 to 26th October 2015 (we don’t hold any results from before this date)
